What Pocket PH stores, why, and what you can ask us to do with it.

Your records are private within Pocket PH and are not visible to other users. We do not sell your data or use it for advertising. Where a feature needs an external service — such as Ask PH or email reminders — only the information required for that feature is processed as described below.
Only what you give us, plus what the app needs to work:
Your name, email address and optional mobile number; your preferences and units; your hunts, harvests, bag entries, places and photographs; your firearms, optics, loads, zeroes and ballistic profiles; your saved field cards; your licence records, their expiry dates and any documents you attach; your Ask PH conversations; and any support request you send.
Photos are re-encoded on your device before upload, which removes hidden camera data such as GPS coordinates, timestamps and device details. Only the processed image file is stored in private storage. It is not publicly accessible and access is restricted through Pocket PH's account controls.
If licence reminders are switched on, we email you as a renewal date approaches. Those emails contain only the record type, its title, the expiry date and a link back to the relevant Pocket PH record. You can switch them off at any time.
Ask PH sends your question to an AI service to generate an answer. If you switch on “Let Ask PH use my records”, the specific details needed for that question are included. Licence documents, reference numbers and photographs are never sent.
We keep the conversation in your account, and we record technical usage information such as response time and token counts, without any of the message content.
We use service providers to run the app: a hosting provider, a database and storage provider, an email delivery provider for reminders and support notifications, and an AI provider for Ask PH. They process data as needed to provide those services to Pocket PH.
We keep your records for as long as your account exists. Archived records are hidden from your lists but retained as history until you ask us to delete them.
You can edit or archive your records at any time, switch reminder emails and Ask PH personalisation on or off, and ask for a copy of your data or its deletion.
Send a request through Contact us in the app and choose “Privacy or data request”.
Pocket PH uses account-level database access controls and private storage to restrict access to your records. Documents and photographs are not publicly accessible.
When we make a material change we publish an updated version and ask you to acknowledge it the next time you sign in.
